Glossary/S
Sign-off
What it meansThe approver’s recorded yes on a specific version of a set: who gave it, when, and on exactly which files. It is what lets the set go to the platform, and it belongs to that version only; anything changed after it goes back for its own sign-off.
- Also called
- Approval, final approval, the yes
- Applies to
- Every set before it runs
- Set by
- The people named as approvers
What a sign-off records
Each of the four matters for a different reason. The name says whose judgement it was; the date says what was known then; the version says which files; and the exclusions stop a held-back size from running by mistake.
What comes after it
Your sign-off is not the last approval. On Meta, ads go through the platform’s own review before they run, which is typically completed within 24 hours and may take longer, and ads can be reviewed again after they are live.1
| After sign-off | Who | How long |
|---|---|---|
| Upload | Whoever runs the media | Named files make it quick |

Keep the sign-off with the files. When someone asks months later why a line said what it said, the answer is the recorded yes on that version.
A sign-off can also be partial. If one market or one size is still waiting on legal, record the yes for the rest and name what is held back, so the approved sizes can go to the platform while the held one is finished.
Common mistakes
- A yes in a chat with no version attached.Nobody can later say which files it was for.
- Changing a size after sign-off without sending it back. The change runs without anyone having approved it.
